Job Description

Tour Agent – Seasonal

As a Seasonal Tour Agent at Fairmont Hotel Vancouver, you will play a pivotal role in ensuring that tour groups experience seamless arrivals and departures during the peak travel season, from April through October. You will act as a confident brand ambassador for Accor Hotels, working closely with Tour Representatives and various hotel departments to provide exceptional service. This role demands excellent communication skills and a passion for delivering memorable guest experiences.

What you will be doing:

  • Collaborate with multiple departments, including Central Services Tour Agent, Front Office Management, Banquets, Guest Services, and Outlet Managers, to ensure all group reservations are managed according to the contract and resume
  • Consistently deliver professional, friendly, and engaging service to all tour guests and representatives
  • Review all tour reservations 5, 3, and 1 day prior to arrival, ensuring all billing, routing, special requests, and comments are addressed and honored
  • Block reservations based on tour profiles and specific requests
  • Maintain room inventory and work closely with Central Services and Front Office Management to balance oversold situations
  • Communicate with management regarding large group arrivals, departures, and satellite check-in requirements, ensuring accurate times are noted
  • Ensure all relevant departments are informed and prepared for tour group arrivals, including check-in/check-out, billing, dining, and luggage handling
  • Expedite guest check-ins by pre-registering and pre-keying tour group arrivals, ensuring early check-ins are arranged when possible
  • Coach and support Front Desk Agents, providing continuous training on tour reservations and related processes
  • Provide additional support at the Front Desk as required based on business levels.
  • Respond to phone and email inquiries promptly and professionally
  • Adhere to department policies, procedures, and service standards
  • Follow all safety protocols and procedures
  • Performing other duties as assigned by management

Qualifications

To be successful in this role we ask that you have:

  • Previous experience in a luxury hotel environment is preferred
  • Familiarity with Opera Cloud or related property management systems is an asset
  • Fluency in English (written and verbal) is required; additional languages are a plus
  • Exceptional ability to remain calm and courteous, even in challenging situations
  • Strong organizational skills with keen attention to detail and the ability to prioritize tasks effectively
  • Ability to work both independently and as part of a team
  • Ability to communicate professionally and articulately with guests and colleagues
  • Highly responsible, reliable, and self-motivated
  • Flexibility to work rotating shifts, including early mornings, late nights, weekends, holidays, and overnight shifts

Physical Aspects of Position:

  • Continuous sitting standing and walking throughout the shift
  • Occasional lifting and carrying of up to 30 lbs.
  • Occasional bending, squatting, kneeling, pushing, and pulling
  • Occasional ascending or descending ladders, stairs, and ramps

Visa Requirements:
Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
