Company Description

The Fairmont Hanoi will open in the Vietnamese capital before year end of 2025, making it the first Fairmont brand in the country. The 241-room luxury hotel will take design inspiration from the art of lacquer with the traditional colours of Vietnam, the Indochinese style from the French colonial period, and draws motifs from Vietnam’s dynasties. Positioned as an urban resort, our guests will be able to enjoy a very special and unique range of offerings such as eight dining and bar venues including a rooftop terrace, as well as two indoor and outdoor swimming pools, an extensive gym and an entire floor of wellness spa and bathhouse. For corporate and social groups, the Fairmont Hanoi will offer three ballrooms, the largest being a 1,100m2 grand ballroom as well as nine meeting rooms, making it an outstanding destination for meetings, conferencing and events. The Fairmont Hanoi is set to become the social epicentre of Hanoi!


Job Description

This position plays a key role in supporting the Talent & Culture team, with a strong focus on Compensation & Benefits administration (including salary, payroll, insurance, and statutory compliance), Government-related reporting, and Employee engagement initiatives. The role ensures accurate execution of HR processes and contributes to maintaining a positive work environment across the hotel.

Compensation & Benefits

  • Administer payroll, insurance, personal income tax, and employee benefits processes with accuracy and confidentiality
  • Coordinate and track monthly payroll data, including allowances, deductions, overtime, and updates for new hires or exits
  • Ensure timely reporting and compliance with social insurance, health insurance, and PIT regulations
  • Liaise with Finance and external service providers (e.g. insurance, tax agents) to ensure data accuracy
  • Support salary benchmarking and benefits review projects when required
  • T&C Relations, Engagement

HR Systems & Data Management

  • Take ownership of HR systems (payroll, and transactions functions), ensuring smooth operation, data accuracy, and regular updates.
  • Maintain employee data in digital systems and support reporting from the system to internal stakeholders
  • Coordinate with IT or system providers on enhancements, issue resolution, or training needs

Government Relations and Reporting

  • Prepare and submit periodic reports to local authorities in line with labor law and internal requirements
  • Maintain compliance documentation related to employee contracts, work permits, and HR legal obligations
  • Assist in liaison with government departments (e.g. labor department, social insurance, tax office)

Work permit/ Residence Card

  • Coordinate the full process of Work Permit, Visa, and Resident Card applications, extensions, and cancellations for expatriate employees
  • Ensure all documents are in line with local labor and immigration laws
  • Liaise with government authorities, agencies, and external service providers as required
  • Maintain tracking files and alert relevant parties of expiry dates and processing timelines

Team Management

  • Identify and develop team members with potential
  • Conduct performance review and manages performance issues that arise within the team
  • Constantly monitor team members performance, attitude and degree of professionalism
  • Develop, conduct maintain all staff training programs for team members, focusing on their development needs, providing them with new skills to meet the changing needs of the business

Other

  • Process day-to-day Talent & Culture administration in an accurate and timely manner
  • Assist colleagues will all HR related queries and questions
  • Maintain a good working relations with all departments and all professional external contacts
  • Maintain a high standard of personal appearance and hygiene at all times
  • Be aware of the hotel fire & life safety/emergency procedures
  • Perform other reasonable duties assigned by the assigned by the Management
  • The ability to manage information available in a sensitive and confidential manner

Qualifications

Knowledge and Experience

  • Diploma in Human Resources Management/Hotel Management
  • Minimum 1 year of experience in a similar capacity
  • Excellent reading, writing and oral proficiency in English language
  • Proficient in MS Excel, Word, & PowerPoint, Canva, Figma

  • Ability to work effectively and contribute in a team
