Job Description

Summary of Responsibilities:

Reporting to the Reservations Manager the Group and Events Reservations Specialist will:

  • Oversee the full operation of group reservations, ensuring accuracy in selling, inputting, and maintaining bookings to maximize revenue and support departmental goals.
  • Audit and input group rooming lists, payment instructions, upgrades, VIP designations, and guest requests with a high level of precision.
  • Monitor and strategically manage cutoff dates, group pickup, and rate restrictions daily to protect inventory and contractual integrity.
  • Ensure proper balancing of group block grids and collaborate closely with Revenue Management on inventory strategy and displacement considerations.
  • Serve as the primary liaison between Reservations, Sales, Conference Services, accounting and Operations as it relates to group reservations.
  • Ensure all contracted concessions and room blocks are accurately applied and communicated.
  • Prepare and lead Cut‑Off Meetings.
  • Manages communication of cut-offs, attrition and addendum to clients, conference services and sales.
  • Oversee responses to reservation requests, modifications, and internal/external calls, ensuring they are handled “in a courteous, efficient, professional and friendly manner.”
  • Resolve escalated guest issues with diplomacy and a solutions‑focused approach.
  • Ensure group clients receive timely, accurate, and personalized reservation support.
  • Review group resumes and detail each group reservation with appropriate payment instructions, guest requests, upgrades, VIPs, etc.… 
  • Be able to understand contract terms and apply them strategically
  • Support the revenue management team with forecasting.
  • Perform additional managerial duties as required.
  • Maintain good working relationships with sales and conference services managers as well as operation teams
  • This position requires a strong attention to details
  • Strict adherence to all Health & Safety training, guidelines and work practices previous, during and following an epidemic (whether local or global) that are established by Accor, local government, international bodies including the World Health Organization (WHO) and Center for disease control (CDC).
  • Perform any other duties, tasks, and assignments within your department as required.

Qualifications

Qualifications & Experience

  • University degree/diploma in hospitality management is preferred.
  • Minimum 2–3 years of reservations or conference services experience, with at least 1 year in a supervisory or managerial role.
  • Business acumen.
  • Knowledge of Opera Cloud and Passkey.
  • Proficient in Microsoft Windows applications.
  • Strong leadership, interpersonal, and problem‑solving abilities.
  • Highly responsible, reliable, and detail‑oriented.
  • Ability to thrive under pressure in a fast‑paced environment.
  • Ability to work cohesively across multiple departments.
  • Ability to remain calm, courteous, and guest‑focused at all times.
