Job Description

Event Sales & Services Manager

At Fairmont Hotel Vancouver, extraordinary events aren’t just hosted, they’re meticulously crafted. For over 85 years, our iconic hotel has been the backdrop for defining moments, landmark celebrations, and world-class experiences.

We are seeking an accomplished Event Sales Services Manager to lead with vision, precision, and passion. In this role, you will provide strategic, hands-on leadership to a dynamic team of 100+ colleagues, ensuring every high-profile event, from corporate gatherings to bespoke celebrations, is executed flawlessly. You will partner with clients and internal stakeholders to deliver seamless, memorable experiences that uphold Fairmont’s five-star legacy and reputation for excellence.

What You Will Be Doing

Reporting to the Director, Conference Services & Catering, responsibilities and essential job functions include but are not limited to the following:

  • Actively seek out and solicit new local social & corporate business
  • Organize, plan and assist in executing events including  fundraisers, annual events, Christmas parties and small to medium size conferences
  • Act as the group organizer's contact and plan all details of the client's event or conference needs including menus, audio-visual, room layout, outside activities, meeting times, check in/out procedures etc.
  • Accurately forecast and project group revenue
  • Be fully accountable for the achievement of  individual and departmental revenue targets
  • Relay all details of conferences and events to all departments in a professional thorough and timely manner using Conference Resumes, Banquet Event Orders and internal memos effectively
  • Foster a co-operative team spirit with and between Sales, Banquets, Culinary and Stewarding teams
  • Assist with administrative departmental needs as required
  • Assist with Tour market and Internal events as required
  • Handle general inquiries and leads
  • Conduct site inspections: rooms, conference space and F&B outlets as requested.
  • Liase closely with Front Office, Reservations, and Housekeeping in order to ensure that pertinent guest’ arrival details are communicated.
  • Overseeing clients while in-house, ensuring their events go as they expect and anticipating their needs.
  • Run weekly Opera Cloud reports and ensure the system is current and up to date; upkeep of Catering menus, resources, pricing and function diary.
  • Contracting and execution of Local & Social Catering events including Weddings
  • Responsible for preparing and distributing Banquet Event Orders and floor plans on a daily/weekly basis.  This includes the prompt distribution of last minute changes to affected departments.
  • To be Health & Safety conscious and actively involved in maintaining a safe work environment.
  • Complies with Fairmont Hotels & Resorts policies, procedures and code of ethics.
  • Performs any and all other tasks which are assigned by management.
  • Upholds the highest standard of internal and external customer service at all times contributing positively to GSI Meeting Planner results. 

Qualifications

What We're Looking For

  • Working knowledge of Opera Cloud, MS Office & Social Tables is an asset
  • Previous experience working in a Conference Services & Catering Department in a manager capacity an asset
  • Previous Food & Beverage/Banquet experience is an asset
  • Proven ability to plan and organize events effectively, with an acute sense of detail
  • Ability to manage several tasks simultaneously using strong time management and prioritization skills
  • Ability to make high quality guest decisions and to perform under pressure
  • Professional appearance and demeanor
  • Excellent communication and interpersonal skills, both written and verbal
  • Must be able to work independently and maintain a positive attitude within a very busy environment
  • Hospitality diploma or degree an asset
  • Ability to work flexible schedules (including evenings and weekends) 

Physical Requirements

  • Frequent sitting throughout shift
  • Occasional lifting and carrying up to 20 lbs
  • Occasional bending, kneeling, pushing, pulling and walking
  • Occasional ascending or descending ladders, stairs and ramps

Visa Requirements:
Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
