Job Description

Join the world of luxury hospitality at Fairmont & Raffles as our new Corporate People, Culture and Learning Coordinator! 

We are seeking an energetic, passionate, and highly organized individual to take on an essential administrative role supporting our regional corporate colleagues and global Learning & Development initiatives. This position is ideal for someone who thrives on detail, enjoys connecting across teams, and is inspired by the opportunity to help shape the employment lifecycle and learning journey for our colleagues.

Reporting Structure:
This position reports jointly to the Global Executive Director, Learning & Development, Raffles & Fairmont and the Director, Corporate People & Culture, Raffles& Fairmont, Canada, US & Europe. The coordinator will support both global and regional priorities, maintaining open communication with both leaders to balance workload and timelines. Regular check-ins will ensure alignment on priorities, allowing the role to thrive as a key connector across our People, Culture, and Learning teams.

Key Responsibilities 

System Data Entry, Support & User Assistance 

  • Maintain and update HRIS/Payroll system data, and all internal tracking sheets 
  • Assist with the onboarding/offboarding process for all employees on Corporate Canada and US payroll, including completing EAFs and updating HRIS systems
  • Maintain and file documents into employee files as required
  • Provide support to hotel and corporate colleagues navigating the Learning Management System. 
  • Assist with access issues, program enrollment, and troubleshooting for all employee systems, such as Learn Your Way, OneHR Successfactors, Dayforce, etc
  • Submit and track support tickets to resolve system concerns. 
  • Provide statistical reports and records as required, including monthly and bi-annual headcount reporting 
  • Compile and submit all documentation required for annual legislative compliance requirements in Canada and US.

Program Administration & Chargebacks 

  • Support setup, tracking, and reporting of learning programs for Corporate colleagues and Hotel Properties. 
  • Manage L&D program and Corporate Administrative hotel chargebacks (completed quarterly).   

Compliance Tracking & Communication 

  • Coordinate and communicate compliance learning programs to Corporate Colleagues and Hotel properties. 
  • Track and generate tailored completion reports to ensure timely participation. 

Program Nominations & Completion Tracking 

  • Assist with Global Program application and enrolment process 
  • Track hotel learning program completions across regions. 

Corporate Orientation, Learning and Engagement Event Coordination 

  • Assist with coordinating logistics for in-person and virtual learning events. 
  • Coordinate the organizational logistics of Orientation for Corporate New Hires and facilitate employee learning sessions for HRIS/Payroll systems.
  • Assist in preparing new hire welcome communication, announcements, equipment preparations and general on-boarding logistics.
  • Assist with coordinating employee office events both onsite and offsite.

Translations & Governance 

  • Assist with the governance of language translations for L&D programs to ensure global content consistency. 

Communications Support 

  • Maintain NCA Corporate People & Culture common/shared mailbox – including sending out Companywide communication. 
  • Help craft, manage and distribute engaging employment, culture and L&D posts through Beekeeper and other internal channels. 

Colleague Programs

  • Be a subject matter expert/ambassador for Accor's Employee Discount Travel Programs and Retiree Program  

Qualifications

 

  • Strong organization and attention to detail. 
  • Experience with HRIS and LMS platforms preferred. 
  • Skilled in Excel, PowerPoint, and general reporting tools. 
  • Excellent communication and time management skills. 
  • A genuine passion for workplace culture, learning, collaboration, and luxury hospitality.
