- Pay Rate Range: $27-28 USD Gross per hour
What you will be doing:
Reporting to the Director of Sales & Marketing and Executive Leaders, responsibilities and essential job functions include but are not limited to the following:
- Organize and implement administrative systems & procedures, and perform necessary support duties
- Manage Sales and Executive email inbox and lead-catching sites to respond to all inquiries in a timely manner
- Assist the Sales and Executive teams with various tasks (including room reservations, group resumes, Sales turnover process)
- Assisting with general sales outreach - including but, not limited to correspondence, thank you notes, emails, contract support, billing support, rooming list and general information gathering, and more.
- Attendance in required meetings for sales, marketing, executive team and provide meeting minutes as requested
- Check rooms prior to sales site inspections/media visits arrival + prepare amenities/cards for VIP arrivals
- Serve as the hotel contact for VIP arrivals and corporate visits
- Assist with collaterals creation & printing: menus, flyers, etc.
- Responsible for managing online reviews and reply to all in a timely manner
- Support the sales and marketing team with coordinating creative requests
- Create various sales reports on a daily/weekly/monthly basis’s
- Pick up and deliver internal mail
- Assist operational departments with projects and collateral as requested by Executive Team
- Order VIP amenities generated from the Executive office
- Maintain the office supply inventory
- Maintain the confidentiality of all correspondence and communication within the office
- Supporting Ethics and Social Responsibility Committee
- Be available with prior notice to have flexible working hours for morning and evening work related activities
- Perform other hotel tasks as assigned
Your experience and skills include:
- Excellent interpersonal and communication skills
- Ability to prioritize work in an environment with multiple interests
- Ability to handle complex and confidential information with discretion
- Competency using a variety of computer software
- Thorough working knowledge of MS Word, Excel, e-mail, and ability to research information on the internet
- Demonstrated organizational skills
- Mature, professional demeanor
- Positive attitude
- Prior hotel experience is recommended
